Reipi BV — Effective from 4 September 2026

1. Who we are

Reipi BV is a boutique SAP consultancy based in the Netherlands. We process personal data as a controller under the General Data Protection Regulation (GDPR). This policy explains how we handle your data and what rights you have.

2. What personal data we process

Reipi BV processes the following categories of personal data:

Contact form: When you contact us through the form on our website, we collect your name, email address and the message you send. We use this to answer your enquiry.

Server logs: Our web server automatically records certain information for security and maintenance purposes, including your IP address, the time of access and details about your browser. This is collected server-side through Plesk and is not linked to any tracking cookie.

Applications: When you apply for an assignment through our vacancy system, we collect the details from the application form: your name, email address, optionally your phone number, your motivation and the CV you attach. We do not ask for your date of birth, your nationality or a photo.

Spam protection: On pages with a form we check whether a submission comes from a human. This processes your IP address and a few technical browser characteristics. No advertising or tracking cookie is placed and no profile is built about you.

3. Why we process your data

Contact form: Processed to perform a contract or answer your request, and on the basis of our legitimate interest in managing our communications.

Server logs: Processed on the basis of our legitimate interest in securing our IT infrastructure, detecting misuse and keeping our website stable.

Applications: Processed on the basis of pre-contractual steps taken at your request, and our legitimate interest in placing candidates. This allows us to assess whether you fit the assignment and to put you forward to the client.

Spam protection: Processed on the basis of our legitimate interest in protecting our forms against misuse.

4. How long we keep your data

Reipi BV does not keep personal data longer than necessary. Our retention periods are:

Contact form: Kept for up to 12 months after the contact has been handled, so that follow-up communication remains possible.

Server logs: Kept for 90 days for security and maintenance purposes, then deleted.

Applications: Kept for a maximum of 6 months from the close of the procedure. After that we delete them, unless you give us permission to keep them longer for future assignments.

5. Who we share your data with

We do not sell or rent your data. We do use a limited number of service providers, and when you apply we pass your details to the client:

Clients: Reipi BV places independent professionals with clients. If you apply for an assignment, we may share your details with the client concerned or with the party issuing the assignment.

Hosting partner: Our website and email run on servers within the European Union. The hosting provider processes data solely on our instructions.

Security and spam filtering: We use a specialist provider to check for automated submissions. Your IP address is processed on servers outside the European Union as part of this.

We have a data processing agreement in place with these parties. For transfers to the United States we rely on the EU-U.S. Data Privacy Framework and, in addition, on the European Commission's standard contractual clauses (Implementing Decision (EU) 2021/914 of 4 June 2021). Beyond this, we only disclose data where the law requires it.

6. Cookies and browser storage

This website uses no tracking cookies, no analytics cookies and no advertising cookies. We do not follow your browsing behaviour and there is no analytics software on the site. That is why we do not ask you for cookie consent.

What does exist:

Language preference: Your language choice (Dutch, German or English) is stored in your browser's local storage so that you get the right language on your next visit. This value stays on your own device and is never sent to us. You can clear it by removing the site data in your browser.

Administrator login session: The restricted admin panel uses a strictly necessary session cookie. It only appears after logging in and disappears when the browser is closed. Website visitors do not receive this cookie.

Spam protection: The check on our forms may use strictly necessary storage to remember that the check has already been completed. No profile is built and no data is used for advertising.

7. Your rights

Under the GDPR you have the following rights regarding your personal data:

Right of access: You can ask what data we hold about you.

Right to rectification: You can have inaccurate data corrected.

Right to erasure: You can request deletion of your data in certain circumstances.

Right to restriction: You can ask us to restrict the processing of your data.

Right to portability: You can receive your data in a structured format.

Right to object: You can object to certain processing of your data.

To exercise any of these rights, please contact us at info@reipi.nl. We will respond to your request within 30 days.

If you have a complaint about how we process your data, you can lodge it with the Autoriteit Persoonsgegevens, the Dutch data protection authority. You may also contact the supervisory authority in your own country of residence.

8. Changes to this privacy policy

Reipi BV reserves the right to amend this privacy policy. Changes will be published on this page with an updated date. We advise you to check this page from time to time. This policy was last updated on 4 September 2026.
